We're looking for a Global Workplace Experience Specialist who is as comfortable building AI-driven processes for facilities management as they are organizing a great company event. Based in our Helsinki HQ, you'll play an active role in shaping the workplace environment, global compliance, and the key culture moments that connect us, using smart tools and automation to do it better, faster, and at scale.
You'll identify and implement AI-driven solutions that improve how the office runs, how new joiners are welcomed, and how employees experience Supermetrics day to day. What You'll Do...
Onboarding & Offboarding Experience
- Deliver a personalised, engaging onboarding experience for every new hire, from welcome packages and office introductions supporting the first-week orientation.
- Use AI tools to automate and personalize office onboarding communications, task checklists ensuring consistency without losing the human touch.
- Continuously improve the onboarding experience using the survey data and feedback. Partner closely with our People Ops Team to ensure a seamless handoff.
Employee Engagement & Culture
- Own all Slack communications related to workplace experience, office updates, events, and culture moments.
- Build out an annual events plan for Global locations celebrating country specific cultural events along with Annual Holiday events.
- Leverage AI to automate end-to-end event logistics, simplifying vendor procurement and budget management. Develop and implement a "Culture Map" plan for Supermetrics.
- Build automated communication flows for event reminders, and office announcements so nothing falls through the cracks.
- Plan and coordinate company events, team celebrations, and cultural initiatives across our Global footprint.
Global Workplace Standards, Health & Safety (H&S), and Compliance
- Coordinate global Health & Safety initiatives in each office location where applicable, ensuring all office locations maintain a secure, safe, and productive environment that meets or aligns with local regulatory standards.
- Own workplace compliance globally. Use smart systems to track mandatory safety training, fire audits, emergency protocols.
- Develop scalable guidelines and playbooks that help all Supermetrics offices maintain a consistent, high-quality, and compliant experience.
Workplace Operations & Digital Space Management
- Own the day-to-day running of the Helsinki and our Global offices, including vendor management, facilities coordination, and budget tracking. Develop a plan for our global offices, day-to-today management and facilities.
- Deploy and analyse digital floor mapping and occupancy sensor data. Translate this data into actionable insights to optimise office layouts, adapt to hybrid working behaviors, and inform future real estate decisions.
- Build AI-driven workflows for predictive maintenance scheduling, smart desk configuration, and automated procurement.
- Deploy and manage an AI-powered chatbot to handle employee facility requests, reducing manual coordination and drastically improving response times.
What We're Looking For...
- 3+ years in employee experience, workplace operations, people operations, or a closely related role.
- Practical experience building or implementing AI-driven processes. You've deployed AI tools (e.g., Claude, chatbot builders) to solve real problems.
- Familiarity with managing and supporting Health & Safety protocols and workplace compliance.
- A people-first approach. You use technology to enhance the human experience, not replace it. You possess well-developed organisational skills and manage priorities effectively.
- Experience using occupancy data, surveys, or space analytics to guide operational decisions.
- Based in Helsinki, with a collaborative working style and occasional flexibility to travel.
